13-1. Migration: mailing list information

Introduction

Mailing list information (ML names explanations, submission authority etc.) will migrate.

Please perform the following procedure.

Confirming contents of settings under the current system (DEEPMail)

  1. Go to the top page of the current system (DEEPMail), and then click " Mailing List " in the upper menu. The mailing list will start, so please perform the following procedure in mailing list.



  2. Click "Manage List" on the menu on the left.



  3. Turn on the radio button on the mailing list you want to confirm then click "Revise Information".



  4. Confirm the settings of [1] to [8] in the following diagram.
    (To use under later settings, it is recommended that you print this screen and write [1] to [8] on paper.)

    About the ML administrator's email receiving option
    It cannot be set under the new system (Group). All is received.

    About the sequence number
     Sequence numbers will be renumbered. (You can set numbers, but numbers will begin at 1.)
     When multiple emails have reached Group in a short period of time, sequence numbers might be duplicated or not remain in sequence.

    There will be no restrictions on the number of members under the new system (Group).




Setting under the new system (Gmail)

  1. Select Group from the menu of the new system (Gmail).



  2. Click "My Group".



  3. Click "Manage" of the Group (mailing list) to be set.



  4. Click "Information" from the menu on the left and then click "General Information".



  5. Enter the ML names that were confirmed by item 4 of "Confirming contents of setting under the current system (DEEPMail)" into Group Name, then enter the contents of "ML Explanation" and mailing list address (xxxxxx@ml.keio.jp) of the current system (DEEPMail) into "Explanation of Group".
    Conclude by clicking "Save".

    The numbers in circles in the following diagram correspond to the diagram in item 4 of "Confirming contents of settings under the current system (DEEPMail)".

    "ML names" and "Explanation of Group" will be caused to migrate automatically by the system. Please add the address of the current system to "ML Explanation".




  6. Click "Authority" from the menu on the left and then click "Basic Authority".



  7. In the case where submission authority that was confirmed by item 4 of "Confirmation of settings under the current system (DEEPMail)" under the, “Select Group of Users (tab)” of submissions is “Everyone permitted”, check “Open to All ”, and in the case of “Only Participants Permitted”, remove the check from “Open to All” and “Organization and all Members.

    The numbers in circles in the following diagram correspond to the diagram in item 4 of "Confirming contents of settings under the current system (DEEPMail)".

    After completion of migration, click "Save".



  8. Click "Settings" from the menu on the left and then click "Management".



  9. In the case where the submission method confirmed by item 4 of “Confirming contents of settings under the current system (DEEPMail)” under control by the manager is “Administrator’s approval is necessary”, check “Manage all messages to the Group”.

    The numbers in circles in the following diagram correspond to the diagram in item 4 of "Confirming contents of settings under the current system (DEEPMail)".



  10. Click "Email option" that is below "Settings" from the menu on the left.



  11. Under “Prefix of Case Name” and Submit Answer” respectively, do settings based on “ML Name”, “Display Mailing List Name”, “Display Sequence Numbers”, and “Types Of Parentheses” that were confirmed under item 4, “Confirmation of Settings under the current system (DEEPMail)".

    * Enter "%d" using single-byte characters for both "%" and "d".

    After completion the above procedure, click "Save".



After completion the above procedure, please advance to "13-2. Migration: Email Notification Settings" .
