Tips for Using Software

Keio University has numerous campus-wide licensing agreements for faculty members and students to facilitate their education and research activities. Privately purchased programs are also widely used for various activities performed within Keio University. Any use of software is, however, subject to certain rules to follow. Read and understand the content of the consent agreement before using a software and try to avoid software abuse.
According to a notice "Thoroughly Implementing a Proper Management of Software" issued by Ministry of Education, Culture, Sports, Science & Technology on February 16, 2006, the tips are listed as follows;

  1. Keep software inventory and perform checks on each computers

  2. Review the management system and its capability

  3. Raise faculty members' and students' awareness of proper software use

Private use of illegal software also violates the copyright law with possible consequences of stiff civil penalties such as "a maximum of 10 million yen in fines and 10 years in prison." Such penalties and imprisonment will result in costly damages to the credibility of the individual as well as Keio University.
Software abuse is against the law and can have very costly consequences even if you are unaware of the fact. Learn more about software license and do not be involved in any software abuse.

Software Abuse Cases

  • Installing a software which was purchased and used by others.

  • Downloading an illegal copy of software through Internet or file-sharing software and using it on your computer.

  • Using one licensed copy to install a program on multiple computers as you plan to uninstall the ones without the license.

  • Using a pirated software for sale knowing the software is illegally copied.

  • Getting a software with no legitimate license as a trial copy and using it on your computer.

Software abuse can occur in number of ways. One significant solution to this problem is to develop a strict software license management system. See below for an example.

An example of Software License Management

Assign a software license administrator within a lab or academic circle every year to manage licenses on an ongoing basis.

  1. Keep original user materials, licenses, and receipts for each software purchase.

  2. Make a list of purchased software and a list of installed software

  3. Check if the number of programs installed exceed the number of purchased licenses by comparing two lists.
